Fulfillment Policy

Purpose

This Fulfillment Policy outlines the processes, timelines, and terms for engaging HireVP’s staffing services. It ensures transparency and sets clear expectations for both clients and HireVP.

1. Service Delivery Overview

HireVP is dedicated to providing exceptional staffing services through the following steps:

  1. Discovery Call: During this initial consultation, we discuss your business needs, role requirements, and expectations in detail.
  2. Payment of Initial Fee: Clients are required to pay the initial fee to begin the candidate search process. This fee is non-refundable but can be applied as a credit for future services.
  3. Candidate Search: Our team identifies and screens candidates based on your criteria. This process typically takes 3-4 weeks.
  4. Client Approval: Clients review and approve shortlisted candidates. They also conduct interviews with the candidates during this stage.
  5. Agency Onboarding: Once approved, HireVP conducts a 3-hour onboarding session for the selected Virtual Professional (VP). This onboarding ensures the VP is fully prepared to begin working with the client.
  6. Service Launch: The client begins working directly with their VP on the agreed start date.

2. Timelines

  • Candidate Shortlisting: Within 3-4 weeks of receiving the initial fee and required information, we will present a shortlist of qualified candidates.
  • Agency Onboarding: A 3-hour onboarding session is conducted by HireVP to ensure the VP is prepared to begin working with the client.

3. Client Responsibilities

To ensure a seamless process, clients are expected to:

  • Provide accurate and detailed role requirements and expectations.
  • Respond promptly to communications regarding candidate selection and onboarding.
  • Adhere to agreed timelines for approvals and feedback.

4. Our Commitments

HireVP is committed to:

  • Matching candidates with the skills and experience that align with client requirements.
  • Conducting thorough background checks and evaluations of all candidates.
  • Maintaining transparent and regular communication throughout the staffing process.

5. Refunds and Credits

  • The initial fee is non-refundable, but it remains as a credit that can be applied anytime for future candidate searches.
  • If the client opts for a replacement VP and has already paid for the subscription, any unused days from the previous VP’s subscription will be applied as a credit toward the new hire’s subscription.
  • Refunds or adjustments for other payments will be handled per the terms outlined in the terms of service.

6. Cancellations and Termination

6.1 Initial Term

The minimum initial term of services is three (3) months. After this period, services continue on a month-to-month basis unless otherwise specified.

6.2 Early Termination

If services are terminated within the initial 3-month period, a $1,500 early termination fee applies.

6.3 Month-to-Month Termination

If the client terminates services after the initial term, they must provide 30 days’ written notice. The client will be required to pay an amount equivalent to one (1) full month’s subscription fee, counted from the date HireVP is notified of termination. The client may continue utilizing their VP until the last day of the notice period.
